April 18, 2021 Board Meeting Minutes

Meeting called to order at 6:10 pm by President George Schmidt.  Attendees included: President George Schmidt, Treasurer Roger Durham, Secretary Anne Whiteman, Board Members at Large Aaron Adair, Cathy Allshouse, and Jessica Helphrey. Not present: Vice President Jeffrey Bromberger.

  • Reports

Secretary – Whiteman – The proposed March 2021 Board Meeting Minutes were circulated.  Adair moved, Durham seconded to approve the minutes as presented, which passed unanimously.          

Treasurer – Durham – The February bank account balance was $22,165.82 together with a note receivable of $10,000.00, showing an increase in net worth to $32,165.82, compared to net worth of $31,732.99 on February 28.  Income of $1,269.58 and expenses of $836.75 generated a net surplus of $432.83 for the month of March, 2021, due part to receipt of $240.11 from the 2020 RG Committee, which represented the net income from last year’s virtual RG. 

President – President Schmidt prepared the following agenda of topics to discuss:

  • Renew membership, if necessary
  • Appointments of Vice President and Board Member at Large
    • Vice President Jeff Bromberger resigned due to work conflicts; Aaron Adair was appointed to take over his position. Durham moved, Whiteman seconded; unanimously approved. 
    • Jen Green will take over the Board Member at Large position vacated by Aaron Adair after he accepted the Vice President position.
  • New Members Party had 33 members.
  • Next Board Meeting: May 16, 2021. General Meeting will start at 7:30 PM in June.

Membership – Paul Whiteman – provided the following report:

  • As of March 31st, NTM had 1,013 members, which includes 14 new members: 5 lapsed members rejoined, 5 new members joined, and 4 moved in. Five members left due to moving out.
  • Jackson, 17-year-old new member, mentioned that there was nothing for his age at the party.

Ombudsman - Randy Brack – His 3-year term as Ombudsman expires in January, 2022.  Randy plans to retire from this role, but will continue on as a member of the National Bylaws Committee.  Gunny Hartman may be interested in the Ombudsman position.

(Helphrey) Scholarship Chair – Jessica Helphrey – Everything is turned over to National.  Ralf will help Jessica next year in submitting everything.

(Helphrey) Publisher/Circulation Manager – Val Beasley – Nothing reported.

(Helphrey) Social and Communications – Jessica is considering taking over and would like to  contribute to Social and Communications, which can be anything she wants.  Jessica may also hold an activity in the near future for those members in their 20s and 30s.

(Helphrey) Publicity – Vacant.

(Allshouse) Webmaster – Andy McKellar – The website appears to be working correctly, and the licenses and user requests are current so far as he knows.

(Allshouse) Testing Coordinator – Deborah Lockhart – There was supposed be a test yesterday, but Deborah had to cancel due to medical reasons.

(Allshouse) Programs – Cathy Allshouse – North Texas Mensa general meetings have resumed.  Dallas Arboretum will present in May on native plants.  A speaker for June may still be needed. 

(Allshouse) Calendar - Sara Hawkins – No issues with calendar.  Please let Sara know if you would like to schedule an event or need me for anything.

(Adair) Gifted Youth - Bill Rock – Gifted Youth had 4 members on-line for games in April.  Will be doing lake cleanup in May.

Secretary – Whiteman – The proposed February 2021 Board Meeting Minutes were circulated.  Durham moved, Allshouse seconded to approve the minutes as presented, which passed unanimously.        

Treasurer – Durham – The February bank account balance was $21,732.99 together with a note receivable of $10,000.00, showing a decrease in net worth to $31,732.99, compared to net worth of $31,760.67 on January 31.  Income of $1,027.11 and expenses of $1054.79 generated a net deficit of $27.68 for the month of February 2021. 

President – President Schmidt prepared the following agenda of topics to discuss:

  • Renew membership, if necessary.
  • Appropriation of money for New Members Party - $200 allocated for appropriation.
    • Durham moved; Whiteman seconded. Unanimously approved.
  • Appoint new member for Gatherings Committee.
    • Karen Brack has been appointed.
  • Jeffrey Bromberger has missed 3 meetings in a row due to his work schedule. Is the NTM Board willing to excuse his absence?
    • Durham moved that we excuse him from being automatically removed this month and defer the decision until next month; Adair seconded the motion. Unanimously approved.
  • Next Board Meeting: April 18, 2021.

April and May speakers are set.  UTD Professor and computer scientist, Chris Irwin Davis, who does artificial intelligence, will speak in April.  Dallas Arboretum will present in May on native plants.

Secretary – Whiteman – The proposed December 2020 Board Meeting Minutes were circulated.  Durham moved, Allshouse seconded to approve the minutes as presented, which passed unanimously. 

Treasurer – Durham – The December 30 bank account balance was $21,362.43 together with a note receivable of $10,000.00, showing an increase in net worth to $31,362.43, compared to net worth of $31,066.83 on November 30.  Income of $1,067.07 and expenses of $771.47 generated a net surplus of $295.60 for the month of December, 2020.  For the year ending December 31, 2020, income of $12,618.37 and expenses of $11,615.41 resulted in a year-over-year increase in net worth of $1,002.96.  Also, the 2020 budget was attached as a starting place for our 2021 budget.  Hopefully 2021 will be much closer to our 2020 projections. The treasurer report was received with thanks.

Election Committee – Paul Whiteman – No complaints have been received about the election in the mail.  However, we DID receive 2 ballots after the election, but they would not have changed the outcome of the election.

Ombudsman - Randy Brack – Last year the AMC updated the ASIES to replace gender-specific pronouns with the equivalent “they”, “them”, or “their” construction.  “Ombudsman” will be replaced with “Ombudsperson”, but the timing can be delayed until the next appointment.  These changes will need to be reflected in the next release of the Minimum Standard Bylaws for Local Groups of American Mensa.

(Allshouse) Webmaster – Andy McKellar – the webmaster was personally “off the air” for a few days during the winter storm because of his internet provider having an outage, but so far as he knows, the NTM website had (and has) no problems.  Also, the webmaster has made the corrections he is aware of to the e-mail forwarders for board members and appointed officers.  Anyone aware of errors should let him know about them.

Meeting called to order at 6:07 pm by President John Marshall.  Attendees included: President John Marshall, Vice-President George Schmidt, Treasurer Roger Durham, Secretary Anne Whiteman, Board Member at Large Aaron Adair, and Board Member Elect Jessica Helphrey (as a guest). Board Member at Large Ken Roberts attended via Zoom.  Not present:  Board Member at Large:  Elaine Wedgwood.

Secretary – Whiteman – The proposed November 2020 Board Meeting Minutes were circulated.  Schmidt moved, Durham seconded to approve the minutes as presented, which passed unanimously.    

Treasurer – Durham – The November 30 bank account balance was $21,066.83 together with a note receivable of $10,000.00, showing an increase in net worth to $31,066.83, compared to net worth of $31,412.81 on October 31.  Income of $1,023.72 and expenses of $1,369.70 generated a net deficit of $345.98 for the month of November 2020, due entirely to our one-time contribution of $500 to the NTM Scholarship Foundation.  The treasurer report was received with thanks.

President – President Marshall prepared the following agenda of topics to discuss:

  • Next Board Meeting and Installation of New Officers: January 17, 2021 at La Madeleine, 3072 Mockingbird Lane for in person attendance, as well as via Zoom. The NTM Board Members should let President Schmidt know in advance by which method they plan to attend.
  • Installation of officers for 2021 – there is no official ceremony.

(Roberts) Webmaster – Andy McKellar – The website is up to date and working correctly.  We currently have:  326 enabled users, including but not limited to NTM, 321 deactivated (i.e., lapsed or deceased) users, and 6 users pending activation (i.e., membership not yet verified). All board members and appointed officers are reminded that I will need to update the email forwarding.  If I can get current email addresses for the new board members (and new addresses for anyone who have changed them), I can have that taken care of some time on New Year’s Day, but I can't update the officers until I have an official list of changes after the first meeting(s) next year.

(Roberts) Testing Coordinator – Deborah Lockhart – After no testing had been done since the lockdown, 90 people interested in testing were communicated with, and 14 responded that they still wanted to take the test.  3 people showed up to take the regular version of the test, and 2 took the Culture Fair test.

(Roberts) Calendar - Sara Hawkins – There was an issue with the online calendar not advancing past the end of the year.  It has been fixed by Andy McKellar.  Things are back to normal in calendar land.  Nothing new otherwise to report.

(Adair) Gifted Youth - Bill Rock – Event for November “Skype a Scientist" was attended by several families.  We have a tour of art in a car park set for the 28th of this month.  January will be a parent meeting.

  1. Old Business: Virtual Regional Gathering – Adair and Roberts. 
  • Virtual RG Report - November 27-28, 2020 at Escape Room.
  • A SWOT analysis was done of Strengths, Weaknesses, Opportunities, and Threats of the RG.
  • People liked the offering of multiple out-of-state presenters.
  • People liked a single thread of presentations, so that they didn’t have to make a decision on what to attend.
  • We reached a wider audience via Zoom.
  • We need at least 2 Zoom sessions so overlap of presentations can be allowed.
  • John Neemidge was our biggest promoter for the event.
  • More games should be included next year.
  • An official survey was sent to all participants.

 

  1. New Business:
  • Installation of officers and directors for 2021.
  • East Texas Gifted Youth Coordinator has not responded.
  • Ralf Kittenbacher does not want to remain as NTM Scholarship Chairperson.
    • New board member Jessica Helphrey will be taking over this role.
  • People in the other roles have confirmed they will continue on for 2021.
